Privacy Policy

Learn how we collect, use, and protect your data. Please read carefully to understand our practices.

Introduction

This Privacy Policy explains how we collect, use, disclose, and protect information when you use our platform, websites, and APIs. It also explains your rights and choices, including where EU/EEA/UK and Asia-Pacific privacy rules apply.

What We Collect

We collect information you provide (e.g., account details, billing details, support requests) and information generated by usage of the platform (e.g., logs, device and session data). Customer Content you submit for processing may include personal data depending on what you upload.

How We Use Data

We use data to operate and secure the platform, provide features (including generating audio outputs from your inputs), process payments via Stripe, support customers, comply with law, and improve reliability and performance. We do not sell personal information.

We act as a data controller for account, subscription, and support information (payment card data is processed by Stripe, and is never stored by us). We act as a data processor for content you submit for announcement generation or name scoring (including names to be announced and required announcement details) on your organization’s behalf. You are responsible for ensuring you have the necessary rights, notices, and consents to submit and process that content.

We may collect account details, subscription/billing records (we never collect payment card details), customer content submitted for announcement generation, usage/technical logs, and support messages. Customer Content is processed only to generate your announcements, or serve your API request, and is never retained afterwards.

We use information to: provide and maintain the platform; authenticate users; generate requested outputs; prevent abuse and secure accounts; provide customer support; process payments via Stripe and manage subscriptions; comply with legal obligations; monitor performance and fix bugs; and improve features. We may use aggregated or de-identified analytics to understand platform usage.

Where GDPR applies, we rely on: (a) Contract (to provide the platform and process subscriptions); (b) Legitimate interests (security, fraud prevention, service improvement, and essential analytics); (c) Consent (where required, such as for certain cookies or marketing); and (d) Legal obligation (tax, accounting, and compliance requirements).

Customer Content may include personal data (such as names, flight numbers, destinations) and, if enabled, branded voice recordings. You are responsible for ensuring you have the necessary rights, notices, and consents (where applicable) to upload and process that content, and you should not submit sensitive/special category data unless you have a lawful basis and it is strictly necessary.

We share Customer Content only with text-to-speech providers when you request announcement generation (e.g., name or city pronunciations). We do not sell personal data or Customer Content. We may also use service providers for essential operations (such as email delivery, subscription management) and disclose information if required by law or to protect the platform and users.

We may process and store information in countries other than where you are located, including where our infrastructure and service providers operate (for example, our database provider and our web hosting/CDN provider). Where EU/EEA/UK transfer rules apply, we rely on recognized safeguards (such as adequacy decisions and Standard Contractual Clauses, including the UK Addendum) and implement appropriate protections where required.

We retain your personal and organizational data only as long as necessary to provide the platform, meet legal and accounting obligations, resolve disputes, enforce agreements, and maintain reasonable security logs and backups. Retention periods vary by data type (e.g., billing records may be kept longer than support tickets). You may request deletion subject to legal and operational constraints.

We use reasonable safeguards to protect information, including encryption in transit between the client and our services, access controls, row-level data isolation, and techniques such as hashed identifiers and pseudonymization of names where appropriate. No system is completely secure. You are responsible for safeguarding your credentials and API keys and restricting account access.

We use cookies and similar technologies for essential functionality (session management, authentication, fraud prevention) and to improve reliability and user experience. Some cookies are required for login flows (including Microsoft and Google sign-in). Where required by law (including in parts of the EU/EEA/UK), we will request consent for non-essential cookies.

We aim to send minimal service communications to admin and support contact email addresses (e.g., security alerts, billing notices). Where permitted, we may also send product updates or marketing messages. You can opt out of marketing communications at any time; opting out does not affect essential service messages.

Subject to applicable law, you may have rights to access, correct, delete, or request a copy of your personal data; request data portability; restrict or object to certain processing; and withdraw consent where processing is based on consent. Where we process Customer Content as a processor, requests may need to be submitted through your organization (the controller).

We aim to comply with applicable privacy laws in regions where we operate and serve customers, including New Zealand’s Privacy Act, Australia’s Privacy Act, Singapore’s PDPA, and Japan’s APPI where applicable. If local rules grant you additional rights or impose additional notice/consent requirements, we will apply them where required for the relevant processing.

The platform is intended for business use and is not directed to children. We do not knowingly collect personal data from children.

We may update this Privacy Policy from time to time. We will post updates here and may provide additional notice where changes are material. Continued use of the platform after the effective date means you accept the updated policy.
